Terms of Service &
Financial Policy
Please review the following policies carefully. By receiving services at Sentinel Integrative Psychiatry, you agree to the terms outlined below.

These Terms of Service and Financial Policy govern your relationship with Sentinel Integrative Psychiatry ("the Practice," "we," "our"). By scheduling, attending, or receiving services, you acknowledge that you have read and agree to these terms. Patient Financial Responsibility
Patients are responsible for all fees associated with services rendered, including copays, coinsurance, deductibles, and any balances not covered by insurance. Payment is due at the time of service unless a prior arrangement has been made with the Practice.
It is the patient's responsibility to verify insurance coverage and benefits prior to each appointment. Sentinel Integrative Psychiatry will submit claims to accepted insurance carriers as a courtesy; however, any unpaid balance remaining after insurance adjudication is the patient's responsibility.
We accept payment via major credit and debit cards, and through our secure online payment portal powered by Stripe.
Insurance & Billing
Sentinel Integrative Psychiatry currently accepts the following insurance plans: United Healthcare, Aetna, Cigna, GEHA, Optum, and Harvard Pilgrim Health Care. Insurance acceptance is subject to change; please confirm coverage prior to your appointment.
If your insurance carrier denies a claim, you will be notified and will be responsible for the full balance. The Practice does not guarantee insurance reimbursement and makes no representations regarding your specific benefits.
For self-pay patients, fees will be discussed prior to services being rendered. Self-pay rates are available upon request.
Cancellation & No-Show Policy
We ask that you notify us at least 24 hours in advance if you need to cancel or reschedule your appointment. This allows us to offer your time slot to another patient in need.
Appointments cancelled with less than 24 hours notice, or missed without notice ("no-shows"), may be subject to a cancellation fee. This fee is the patient's responsibility and is not covered by insurance.
Repeated no-shows or late cancellations may result in discharge from the Practice at our discretion.
Nexus Letter Fees
Nexus Letters for VA Service Connection are a specialized clinical service provided for an established fee, which will be communicated to you prior to the completion of the letter.
Nexus Letter fees are non-refundable once the letter has been completed and delivered. This reflects the significant clinical time, research, and documentation required to produce a medically sound and legally supportable letter.

Refund Policy
Overpayments resulting from insurance adjustments or billing errors will be refunded to the patient within a reasonable timeframe, typically within 30 days of identification.
Payments made for services rendered are generally non-refundable. If you believe a charge has been made in error, please contact our billing team within 30 days of the charge.
Refunds, if applicable, will be issued to the original payment method used at the time of payment.
Online Payments
Sentinel Integrative Psychiatry uses Stripe, a PCI-compliant payment processor, to securely handle online payments. By submitting a payment through our patient payment portal, you agree to Stripe's Terms of Service.
All payments submitted through our portal are the responsibility of the submitting party. If you submit a payment and later dispute or chargeback the charge without a valid reason, you remain responsible for the original balance, plus any fees incurred as a result of the dispute.

Privacy & HIPAA
Sentinel Integrative Psychiatry is committed to protecting your privacy in accordance with the Health Insurance Portability and Accountability Act (HIPAA). Your protected health information (PHI) will only be used or disclosed as permitted by law and as described in our Notice of Privacy Practices, provided to you at your first appointment.
Personal information collected through our website (including contact forms and payment portals) is used solely for the purpose of providing and improving patient care and communications. We do not sell or share your personal information with third parties for marketing purposes.
Scope of Services & Limitations
The content on this website is for informational purposes only and does not constitute medical advice. It does not create a patient-provider relationship. A formal patient-provider relationship is only established upon completion of intake documentation and a scheduled appointment.

Changes to These Terms
Sentinel Integrative Psychiatry reserves the right to update these Terms of Service and Financial Policy at any time. Changes will be reflected on this page with an updated effective date. Continued use of our services after changes are posted constitutes your acceptance of the revised terms.
